Getting Started

Your first 15 minutes with Buddees.

Welcome aboard. Here's how to get up and running:

  • Create your account using the link in your welcome email (or go to app.buddees.app). Takes about 2 minutes.
  • Tell us about your business during onboarding. Your trade, team size, and how you operate. This is how we configure Tabby, Jack, Marco, and Cassie to actually know your business.
  • Load your Knowledgebase. Add your rates, service areas, team members, and any processes you want the agents to follow. The more you give them, the smarter they get.
  • Start using your agents. Tabby handles reception and scheduling. Jack dispatches your techs. Marco looks after marketing and customer engagement. Cassie manages quoting and invoicing.

Your 14-day free trial includes every feature and all four agents. No card charged until you say go.

How Billing Works

Plans, trials, and what you're paying for.

14-day free trial. Every new account starts with a full-feature trial. All four agents, every capability, no restrictions. You won't be charged during the trial.

After your trial: Pick the plan that matches your team size. Every plan includes all four agents and all features. The only difference between plans is the number of user logins and volume capacity.

  • Sole Trader (1 login) from $149/month
  • A-Team (up to 5 logins) from $349/month
  • The Firm (custom) for larger operations

Annual commitment saves roughly 10%. All prices in USD. International customers are billed in USD and your bank may apply FX conversion fees.

You can upgrade, downgrade, or cancel at any time from your account settings. No lock-in contracts on monthly plans.

Meet Your Agents

What each agent does and how they work together.

You get a team of four AI agents. They coordinate like real colleagues.

  • Tabby (Reception & Scheduling) is the first point of contact your customers have. She captures every lead, books appointments, sends confirmations, and builds your CRM organically from every interaction.
  • Jack (Operations & Dispatch) gets your techs to the right jobs. Right certification, right location, right time. He manages schedules, handles rescheduling, and flags conflicts before they become problems.
  • Marco (Marketing & Customer Engagement) fills your calendar before slow weeks hit. He requests reviews after jobs, nurtures leads, tracks service agreement renewals, and runs seasonal campaigns.
  • Cassie (Finance & Admin) handles quotes, invoices, and payment follow-ups. Itemized quotes go out fast, invoices go out the day a job wraps, and nothing gets ignored.

A lead captured by Tabby triggers Jack's scheduling and Cassie's quoting automatically. Every handoff between agents is tracked and logged.

Managing Your Knowledgebase

How to teach your agents about your business.

The Knowledgebase is what makes your agents yours. It's a three-tier system:

  • Industry Knowledge (built-in): Trade-specific knowledge for your industry. Compliance rules, common service types, typical pricing structures. This is loaded automatically based on your trade.
  • Company Knowledge (you add this): Your rates, service areas, team members, operating hours, processes, terms. This is what turns a generic AI agent into one that sounds like it works for you.
  • Customer Knowledge (built over time): Your agents learn from every interaction. Customer preferences, property details, service history. This gets richer the longer you use the platform.

The most specific knowledge always wins. If a customer has a special rate, that overrides your company default, which overrides the industry baseline.

You can add, edit, and remove knowledge entries at any time from the Knowledgebase section of your console.

How Scheduling Works

Appointments, dispatch, and calendar management.

Tabby captures the booking. Jack assigns the tech. Here's the full flow:

  • A customer contacts you (call, chat, email, or form). Tabby captures the details and identifies whether it's an emergency, a standard booking, or a quote request.
  • Tabby creates the job and checks your team's availability. If it's straightforward, she books it directly and sends the customer a confirmation.
  • Jack takes over for dispatch. He matches the job to the right technician based on certification, location, and current schedule. He handles rescheduling and flags conflicts.
  • The customer gets automatic reminders before the appointment. Your tech gets all the job details, customer history, and any special notes.

If something needs to change, your agents handle the rebooking and notify everyone involved. You don't have to chase anyone.

Account & Security

Passwords, access, and keeping your data safe.

Your data is yours. Here's how we keep it safe:

  • Secure login: Your account is protected by email and password authentication. We recommend using a strong, unique password.
  • Tenant isolation: Every business on Buddees has its own isolated workspace. Your data is never shared with or visible to other businesses.
  • Subdomain access: Your workspace lives at yourcompany.buddees.app. Only users you invite can access it.
  • Data hosting: All data is stored securely on infrastructure hosted in the US and EU regions.

If you need to reset your password, use the "Forgot password" link on your login page. If you're locked out, email tabby@buddees.ai and we'll help you get back in.

Cancelling Your Account

How to cancel and what happens to your data.

No lock-in. Cancel anytime.

  • You can cancel your subscription from your account settings. Monthly plans cancel at the end of the current billing cycle. Annual plans cancel at the end of the annual term.
  • After cancellation, your workspace stays accessible in read-only mode for 30 days so you can export any data you need.
  • After 30 days, your workspace and all associated data are permanently deleted.
  • If you're on a free trial and decide not to continue, you don't need to do anything. The trial simply expires and you're never charged.

If you're thinking about cancelling because something isn't working, reach out to us first. We'd rather fix the problem than lose you.
